USING THE DOCUMENT MANAGER

The Document Manager is a great help if you want to make your office paperless. You can use a scanner to scan in all of the paper sent to you from other places (such as referral and consultation letters, hospital discharge summaries and reports, etc.) and make sure the proper physician reviews each document.

Let's walk through this process so you can see how easy it is to implement:

1. Create a folder in your computer where you plan to store all of the scanned documents. (Press My Computer on your desktop. Double click on the disk drive you plan to use. Press your right mouse button on an empty space on the drive's list of folders and press New\Folder. Give the new folder a name).

2. Put a document in your scanner and scan it into your computer. When asked for the file name, place it in the folder you created in step #1 above. (You can actually scan in many documents at once if you wish).

3. Launch Welford Chart Notes. Press Links\Document Manager.

4. In the Folder box, enter the folder you created in step #1. If you aren't sure where it is located, you can press the Browse button to locate it.

5. Once you specify the folder, any images in that folder that have not yet been sent to a user for review are listed below the folder name. You can view the highlighted image in the image pane on the right side of the window.

6. If you aren't sure which patient the image belongs to, you can use the zoom and shrink buttons just above the image to change its size. You can also grab the image by holding your mouse down over it and move it around to see different portions of it. If you still can't tell, double-click on it and it is loaded into the Image Utility. From there you can use any of the Image Utility's features to get a better view of it, such as changing brightness and contrast. You can also drag your mouse over a portion of it (such as where the name appears) and then press the Zoom In button to zoom in on that portion.

7. Once you have determined the patient to whom the image belongs, enter that patient's name in the Patient box. Let's enter KELLY ERICKSON.

8. Choose the user to whom you wish to send the image in the To box. Let's choose Beverly McFadden, M.D.

9. For the Category, choose a section of the program to which the image applies. For example, if it is a lab report, select Lab. If it is correspondence such as a discharge summary or referral letter, select Writer. Let's select Writer.

10. You can enter an optional Comment that the next user will read. This is best used to summarize what the image is about. You can also use it to let the next user know what you want them to do with it. In this case, type in "Herniorrhaphy report".

11. Press Send to send this image to Beverly. Note that the image is now removed from the list of files. The image file itself has NOT been removed from the folder on your hard drive. It stays right there, but it is now marked that you have sent it somewhere and no longer need to review it.

Now, let's log on as Beverly McFadden and respond to this item from the In-Box:

1. Press System\User.

2. Log on as Beverly McFadden.

3. View her In-Box. You will see the herniorrhaphy report listed as an Image. The user who sent it to you is listed in the From column, and the Comment is listed in the Topic column.

4. Double-click on this line in your In-Box to view the image in the Image Utility. You can zoom in on it to view it better.

5. Note that the Comment is listed as the Title. You can edit the Title and thus the comment and then press Ok to store the image with this new comment. Press Quit to leave the Image Utility.

6. If you want to send this image to another user to view or comment upon, you can press the Send button (the right arrow to the right of the Options button). However, in this case, you don't need to send it to anyone. Press the Noted button (the green check mark) and the image is removed from your In-Box.

7. If you wanted to view this image at a later time, you can find it in this patient's Image Utility. Press Links\Image\Search. Specify today's date as the Begin Date and End Date. Specify KELLY ERICKSON as the Patient. If you remember the image is in the Writer, check just the Writer, but if you don't remember, leave all of the choices checked. If you remember some of the Title, you can search for that in the Text box (e.g. you could type in "herniorrhaphy"). Press Ok.

8. The matching image appears in the Image Search Results window. Double-click it or press Ok to view it in the full Image Utility.
