USING LAB BOOK CATEGORIES (User's Manual, pgs. 808-815)

Version 4.5 lets you display your Lab Book results organized into groups of similar tests called Categories. For example, you might set up a Category called CARDIAC ENZYMES and include within it tests like CPK and TROPONIN. You are free to design this feature any way you like, making up names for each Category and deciding which tests belong in which Category. However, the program comes with a set of these as factory defaults which you can use almost immediately, and which you can then tweak further. Or, you can design the entire set of Categories from scratch. You are also free to add, remove, and rename Categories at any time, and move tests from one Category to another at any time. However, there is just one set of Categories and test assignments per installation of Welford Chart Notes; they are not unique to each user at a given installation. (Changing the settings changes them for all users at your facility).

First, let's see how to edit the Categories:

1. Press View\Lab Book and enter any patient name.

2. Press Utility\Category Editor.

3. You can use the program's default Categories as is if you wish, without making any changes at all. If so, simply press Cancel.

4. If you want to redesign the entire tree of Categories from scratch, press Erase All. You can use the Add Main Category and Add Sub-Item buttons to design your own tree of Categories, or to tweak the tree that comes with the program. Note that you are not limited to having just one level of items below each Main Category. You can actually have items nested as many levels as you wish.

5. Press Ok to store your changes.

Now, we want to assign our tests to our Categories:

1. Back in the Lab Book, press Utility\Assign Categories.

2. If you want to use the factory default assignments for tests, press the Import button. This is the easiest way to start using Categories quickly, and is recommended if you are using the factory Category tree (or something close to it). However, if you decided to create all of your own Category names from scratch, then pressing Import is a waste of time because the program won't know how to match tests to your own Category names.

3. Pressing Import automatically assigns most (or perhaps all) of your Lab Book Vocabulary tests to Categories. However, some of your tests will probably not be assigned, because you added them yourself and the program doesn't know where you want these remaining tests assigned. By default, these tests are placed into a Category called "Unassigned". You could, if you wish, simply leave these tests there, but you will probably want to assign them to specific Categories (or create new Categories for them if they don't seem to fit into any Categories that you have already created).

4. Check the Unassigned box and uncheck the Miscellaneous and Others boxes to focus on the unassigned tests. For each test on the list, pick the Category to which it belongs, either by picking the name from the Category drop-down list, or by locating and clicking on the name of the Category in the Category Tree, then press Ok to make the assignment. For example, to assign 5' NUCLEOTIDASE to the Category of LIVER TESTS, highlight 5' NUCLEOTIDASE in the Tests list, then choose LIVER TESTS either from the Category list or the Category Tree, and press Ok. The test is then removed from the Unassigned list (and moved to the Others list). Continue this process until you have assigned all of the tests on your Tests list into Categories.

5. If none of the Categories suit you for one of the tests, you can instead press Edit. This opens the Lab Book Category Editor, described above, where you can add new Categories before returning here to assign tests to them.

You can also assign Categories when using the Lab Book Vocabulary Editor:

1. Inside the Lab Book, press Utility\Vocabulary.

2. Enter the name of the test in the Test Name box and press <Tab>. If the test has already been assigned a Category, the name of the Category will appear in the Category box.

3. To change the Category, either pick a different Category in the Category box, or press the Pick from category tree button to choose the Category that way. You can also open the Category Editor by pressing the Edit Categories button.

4. Press Ok to store any changes you made to the terms' Category.

Once you have set up your Categories, you need to do one more step to see them:

1. Inside the Lab Book, press Utility\Options.

2. Check Organize by Categories and press Ok.

Some users may prefer not to see their Lab Book organized by Categories. These users can simply uncheck this Option. (They will still be organized by Categories for the other users who have checked the Option).
